GRAPHIC RECORDING, VISUAL NOTES, FACILITATION, STUDIO ILLUSTRATION – WHAT’S THE DIFFERENCE?
Graphic Recording, also referred to as Graphic Note Taking and Graphic Scribing, is live process whereby we listen silently and illustrate the content of a speaker, and/or participants of a meeting, or conference. The content is captured at the meeting in concept images and words, and drawn using markers and pastels on sheets of eight foot paper taped against a flat drawing surface or foam core boards.
Graphic Facilitation, is a similarly live illustration process, but where we lead or co-lead a presentation or discussion. The key difference is our direct involvement with participants, rather than just listening. As with Graphic Recording, we will illustrate the event or discussion; but, we will also be working directly with your team to illicit their ideas, we can also create visual exercises to have them draw. We will guide and navigate the event towards the specific visual, thought-based, and documented outcomes you seek.
Prior to a facillitation or note taking session we will coordinate on the structure, content, and processes of the meeting. I will study your content, branding colors, and incorporate any ideas you bring forth to customize unique visual designs...or if you can dream up the visual style that you want, I can do it.
Both Graphic Note Taking and Graphic Facilitation are effective means of engaging attention and capturing the most vital discoveries of a meeting or presentation.
Studio Illustration refers to a graphic illustration of any size that we would do at our studio and deliver to you. It can be based on a strategic plan, PPT slides, an artistic style, images you like, or anything you wish.

WHEN SHOULD WE USE THIS?
During a live or virtual presentation, conference discussion, training, product development, strategy, or ideation session. Anytime you want improved participation, engagement, understanding…or you just want to make your event stand-out.
HOW DO I HIRE YOU?
Contact us with the dates you’d like to hire us so we can ensure we have availability. We can discuss your needs over the phone and look at options on how we may help you achieve your goals.
Once we have confirmed that we are going to work together, we will send you a contract to sign and return with a deposit to secure your dates.
WHY WORK WITH US?
You will be working with an illustrator, facilitator, and management consultant with over fifteen years of experience working across diverse businesses and organizations, someone who is at ease with c-suite and general employee interaction.
The quality of service is extremely high. We aim for complete customer satisfaction.
We are local to the southeastern U.S. and are interested in developing long-term relationships with southeast clients. While we work globally, if you’re meeting in Nashville, Tampa, Orlando, Atlanta, Houston, Charlotte, New Orleans, or D.C. – we are local, and that brings service costs down.
Our pricing is extremely competitive.
HOW DO YOU CHARGE FOR YOUR SERVICES?
We charge a flat day rate for both Graphic Recording and Graphic Facilitation. See our prices page for a general idea. Once we have discussed the outcomes you want to achieve we can provide a specific delineation of services and costs.
Our rates include any preparatory discussions together, any research required, your finalized poster, the digital touch-up of your digital poster. Travel costs, for on-site illustration, are born by the client in addition to the service fee.
We ask for fifty percent to secure your date up front, and the remaining fifty percent within five days of your meeting.
HOW FAR WILL YOU TRAVEL?
We are willing to travel anywhere.
WHAT DO I NEED TO SUPPLY?
All of our supplies are included in the contracted price of our services to you. If illustrating on a poster roll, we will need a flat and smooth surface on which to illustrate. If foam core boards are preferred, we will require easels (which are usually provided by hotels or meeting venues). We will coordinate with you on what is workable.
CAN WE GET DIGITAL PICTURES OF THE ILLUSTRATIONS?
Yes, of course! At the end each session we capture high-resolution digital photos of all images. We process these to ensure the best print and web quality, and email them off to you. These can be emailed to participants, or later printed into smaller posters for special guests or leadership.
HOW DO WE USE THE ILLUSTRATIONS YOU’VE CREATED FOR US?
The illustrations can be used in a variety of ways.
Often organizations will mount the poster art in a common area of their company for people to see – this keeps the ideas in people’s minds and continues live discussion of the concepts.
It’s also a great idea to send the digital photo files to attendees, to print and mount small posters, create banners, or even to create event swag such as calendars, totes, or mugs.
WHAT HAPPENS AFTER THE MEETING?
We like to pre-schedule a meeting debrief. We will discuss how you feel the meeting went, discuss next steps, and can coordinate on anything for which we can support you.
HOW DO YOU INTERACT WITH OUR ATTENDEES?
It depends on what you want. It’s a good idea to introduce us to your attendees so they understand how we will be supporting the meeting. We can then say a few words and explain how we will be capturing the meeting themes and concepts.
In Graphically Facilitated sessions we have direct interaction with the attendees throughout the session, working in collaboration with one of your facilitators or with one of our team. For Graphically Scribed sessions, our attendee interaction is more limited.
I’VE NEVER USED GRAPHIC RECORDING BEFORE – WHAT’S THE VALUE IN IT?
People love Visual Notes. It’s fun. It's art created from their ideas. Participants attain a deeper understanding of a message; they feel ownership for the dialogue around that message as they have witnessed the illustration come together. It may be hard to believe it until you’ve experienced it, but once you have you’ll want these illustrations for every event you create.
HOW DOES GRAPHIC NOTE TAKING RELATE TO LEARNING AND DEVELOPMENT?
Yes! When people SEE the IDEAS they are hearing or thinking about they RETAIN the IDEAS better. When they SEE the CONNECTIONS of one IDEA to another idea - they UNDERSTAND the CONTEXT of these ideas better. Visual representations communicate RELATIONSHIPS, PROCESSES, and HIERARCHIES across a group, seeing this provides UNDERSTANDING. This prompts RELEVANT, insightful dialogue and prompts NEW IDEAS and SOLUTIONS. We can visualize any of stale training documents and bring them to life!
IS GRAPHIC NOTE TAKING DISTRACTING?
The live illustration process of Visual Note Taking actually enriches any conversation and the engagement to a speaker’s points. Imagine being able to see the whole presentation or discussion, all at once, and as it develops. The illustration becomes a reference point that keeps visual participants on-track, providing context, connections, and key points.
We can illustrate in front of your conference, within direct audience sight, or in the back, at your preference.
If audience distraction is of concern to you, one effective approach is to ask participants to wait until scheduled breaks to view the illustrations. This also gives them an opportunity to bring up notes of things they found important, allowing them to contribute to the illustration.
CAN YOU INCORPORATE OUR BRANDING COLORS?
Absolutely! We bring a wide variety of marker and pastel colors with us. If you have specific branding colors you would like us to match we can probably accommodate this with sufficient ordering time. Let’s discuss this as soon as we can.
WE HAVE IDEAS OF HOW WE WANT THE ILLUSTRATIONS...
Great! If you have seen a graphic illustration or visual notes that you admire – whether in layout or style – we can likely incorporate that style or layout in your illustrations. We would like to confirm expectations prior to contracting so we can be sure to meet them.

DON’T YOU NEED TO BE AN EXPERT IN OUR INDUSTRY TO WORK WITH US?
We have worked across many industries over the past fifteen years. We are very adept at picking up the processes and language of new industries. Our expertise is in business solutions and visually capturing the ideas, thoughts, and themes of group discussions.
While we may well be knowledgeable of your industry, expertise in your industry isn’t necessary for a successful illustration. We will coordinate with you to ensure the messages captured are in-line with what you seek. If there are key business components or documents you would like us to understand prior to the meeting we will certainly become familiar with them.

IS THERE CERTIFICATION FOR VISUAL PRACTITIONERS?
The International Forum for Visual Practitioners is the membership organization for professional graphic facilitators and notetakers. Most pros are members. We are members. There isn’t one certification otherwise.
WHAT ABOUT CONFIDENTIALITY?
We fully respect the confidentiality of all of our clients. Prior to our session, we will discuss any specific requirements that you may have. We can sign NDAs as needed. Any provided documentation can be returned to you or securely shredded.
DO YOU HAVE CLEARANCE TO WORK WITH FEDERAL CLIENTS?
We have active Federal contracting clearance and have worked with DOD, DOS, and HHS. Please contact us regarding your specific needs.
